01. Who we are

This policy explains how Deplace AI Inc., 131 Continental Drive, Suite 305, Newark, Delaware 19713, United States (“Deplace”, “we”), processes personal data when you visit www.deplaceai.com (opens in a new tab), apply for a job or contact us. Deplace AI Inc. is the controller of this data, together with its affiliate Deplace AI France SASU for activities carried out in the European Union. We process personal data under applicable U.S. privacy laws, including the California Consumer Privacy Act as amended by the CPRA (CCPA). Where applicable, we also comply with the EU General Data Protection Regulation (GDPR).

02. What data we collect and why

Information you give us through forms

When you send a form, your answers go to our website's server, which emails them to our team inbox (pedro@deplaceai.com or deplace@deplaceai.com) through Google's Gmail service. For job applications, the server also saves your CV and a copy of your answers in our Google Drive. Nothing is sent from your own email account.

  • Contact form: your name, email address, company (optional), your message and an optional link.
  • Book an evaluation: your name, work email, company, a description of the workflow you want evaluated and an optional link.
  • Robot and model companies: your name, email address, company, the model or robot you want evaluated, an optional link to a demo or paper and an optional message.
  • Job applications: your first and last name, email address, the role you are applying for, your LinkedIn profile, when you can start, whether you are authorized to work in the country of the role, your answers to the role's questions, and the CV you upload.

Please do not include sensitive information (for example health data or government identifiers) in free-text fields or attachments.

Information collected automatically

  • Technical data: our hosting provider, Vercel, keeps standard server logs (IP address, browser type, pages requested, time of request) for a short period under its standard settings. To protect the forms from abuse, our server also keeps a short-lived count of submissions per IP address in memory.
  • Analytics: we use Vercel Web Analytics to count visits and page views. It sets no cookies and does not identify you: it records the page, the referring site, your country and your type of device and browser, and recognizes a returning visitor only within the same day, through an anonymous value that is not stored.

If you book a call through our Google Calendar booking link, Google processes the booking under its own privacy policy and shares your name, email and chosen time with us.

Cookies

Cookies are small text files stored on your device when you visit a website. We use two kinds:

  • Necessary cookies: required for the website to work, for example to submit forms. These cannot be switched off.
  • Analytics cookies: help us understand how visitors use our website so we can improve it. Where required by law, we only use them with your consent.

You can block or delete cookies in your browser settings. Blocking necessary cookies may affect how the website works.

03. How we use it

  • To reply to your message or evaluation request and to scope and schedule an evaluation.
  • To review job applications, contact candidates and run our hiring process.
  • To understand which pages are useful and improve the website.
  • To keep the website and forms secure and free of spam.
  • To comply with legal obligations.

We do not sell your personal information, and we do not use form submissions for advertising.

04. Legal bases (EU and UK visitors)

Where the GDPR applies, we rely on:

  • your consent, for analytics cookies;
  • steps taken at your request before entering into a contract, for enquiries and job applications;
  • our legitimate interest in operating a secure website and communicating with interested parties.

05. Who we share it with

We share personal information only with service providers that help us run the website and our business, under contracts that limit their use of it:

  • Website hosting and infrastructure: Vercel, which hosts the site, runs its forms and provides its visit statistics, and Sanity (our content system; its image service delivers the pictures on the site, so your browser requests them from cdn.sanity.io).
  • Google Workspace: Gmail, which delivers form submissions to our team inbox; Google Drive, where job applications (your CV and your answers) are stored in a folder only our team can open; and Google Calendar, for bookings.

We may also disclose information if required by law, or as part of a merger, acquisition or sale of assets, in which case this policy will continue to apply to it.

06. How long we keep it

  • Contact and evaluation requests: 24 months after our last exchange, unless we start working together.
  • Job applications, including the CV and answers stored in Google Drive: 12 months after the role is filled, unless you ask us to keep your application for future roles.
  • Server logs and visit statistics: for the period set by Vercel, after which they are deleted.

07. Your rights

Depending on where you live, you may have the right to access, correct, delete or receive a copy of your personal information, to object to or restrict how we use it, and to withdraw consent at any time. California residents have the right to know, delete and correct their information and not to be discriminated against for using these rights. To make a request, email deplace@deplaceai.com. You can also complain to your local data protection authority.

08. International transfers

Deplace is based in the United States and our service providers may process information in the United States and other countries. Where we transfer personal information out of the EU or UK we rely on appropriate safeguards such as the European Commission's standard contractual clauses.

09. Security

We use reasonable technical and organizational measures to protect personal information, including encrypted connections (HTTPS) and restricted access to the inbox and the Drive folder that receive form submissions. No method of transmission or storage is completely secure.

10. Changes to this policy

We will post any changes on this page and update the "last updated" date. If a change is significant we will make it clear on the website.
